TCP Work Orders allow administrators/foreman to easily create internal or external work orders. Work Orders can be assigned to an indvidual with priority and due date. Work Orders also have the "sign with finger" technology for approval and workflow. Full reporting against work orders are available to administrators.
TCP's Work Authorizations allow for the continuous movement forward of production. Now foreman can authorize additional work right from the job site with detailed information and "sign with your finger" technology. All Work Authorizations can be emailed directly to the customer with their signature in the PDF!
For those employees that are allowed to designate their own time without clocking in and out, there's Time Logger. TCP's time logger allows each employee to designate the amount of time they spent per job/task/tracking code. All employees are responsible for entering in their own time. Time isn't entered, they don't get paid. Keeps accounting happy with up-to-date information. Not to mention for administrator tracking time spent per job.
Large team? No more sign in sheets. TimeCapture PRO uses "sign with your finger" technology + geo tracking to capture who's clocking in, where and when. No more signing in for your buddy. Plus, when workers clock out they are asked specifically if lunch was taken and whether they were injured. If they designate injury, an email blast goes out to all supervisors to remedy the sittuation.
Create quotes on site with the customer in realtime. Quotes can be previewed and sent directly the customer as an attached PDF and a link to the approval page customized specifically for them. Customers are able to accept or reject quotes with date, initials and signature capture. More often than not, the faster you get the quote to your customer, the faster they decide.
TCP can track payments across all facets of the system. Of course, invoice payment tracking, but also on a per customer and job level. Payments are designated as either "in" or "out" for both internal invoice payment tracking as well. Through these metrics TCP can produce a "Profit Report" drilling into each Job, the projected profits and actual.
Probably the most important role of TimeCapture PRO is the Job Management section.
From here the following aspects can be managed:
All aspects of the system link within itself for full "relational" management. Jobs are interlaced throughout the whole system allowing administrators full control over each individual job.
Invoices are generated based on job/quote/customer status and are emailed directly from the system to the customer. The Email contains a PDF attachment and a link allowing the customer to hit a "for your eyes only" page to track invoice status with number of payments made and outstanding balance. TCP's built in templating system allows for fully customized templates on a per invoice basis. Customer's can also approve invoice with signature capabilities.
For those customers with "teams" of workers daily reports are available to track the number of hours associated with each task/change order. The tracking done here allows for further reporting by the administrators to understand the amount of time it takes to complete a paticular task by hours/unit of measurment. Example 2 hrs/Linear foot of 'Edge Frame Wrecking'.
The entire TCP system always relates back to a customer record. Repeat customers allow for further reporting into the history of that customer. Full reporting and history tracking is maintained across each customer with associated Contacts/Jobs/Time/Work Orders/etc.
Change Orders are tracked on a per Job basis and are used for time tracking. Time can either be tracked against a task within a job or against a CO within a job. All of which is reported against. Associated files (excel, word docs, images, etc) can also be affiliated with individual change orders.
TimeCapture PRO Offers full Asset Management capabilties broken down into Assets, Asset Parts (per asset), Asset Log (per asset) and Work Orders (per asset). TCP Customers use this feature to manage both their own and their customer's assets for maintenance and billing purposes.
